Process & System Change Advisory
We assess maintenance workflows, support changes to existing applications, and review migration readiness through clear requirements, data reconciliation, and controlled testing.
We work alongside your team to understand how maintenance activities, application workflows, and data transfers connect across departments. We clarify responsibilities and identify the processes and information affected by planned changes. We assess current processes, support changes to existing applications, and reconcile selected data to evaluate migration readiness. Depending on the agreed scope, we document requirements, prepare test scenarios, coordinate user acceptance testing, and support stabilization. We organize findings and outstanding issues to help your team make informed decisions about readiness and next steps.
Maintenance Process & Data Flow Assessment
We examine how selected maintenance activities move between people, applications and records. We document the current workflow, identify unclear handoffs and propose improvements with defined ownership.
Challenges we address
A written procedure may not reflect the checks, emails and manual transfers used in daily work. Unclear handoffs and responsibilities can lead to repeated effort, incomplete records or delays that are difficult to explain from the application alone.
How we help
- We walk through agreed maintenance scenarios with the users and departments involved.
- We document process steps, inputs, outputs, decision points, application use and transfers of information.
- We compare documented procedures with observed examples and distinguish routine work from exceptions.
- We review ownership, control gaps and improvement options with the customer's process owners.
What we deliver
- We deliver current-state process and data flow maps covering the agreed scenarios and departmental handoffs.
- We provide a findings register with supporting examples, operational implications and responsibilities requiring clarification.
- We propose prioritized improvement actions with proposed owners, dependencies and validation steps.
What we need to get started
- Access to the users and process owners involved in the selected workflow.
- Current procedures, forms, reports and authorized examples of relevant system transactions.
- Agreement on process boundaries, departments, scenarios and observation or workshop arrangements.
Scope and responsibilities
We assess the agreed processes using the observations and evidence available during the engagement. Our recommendations require customer validation and approval before implementation. We include organizational changes, application configuration or rollout of revised procedures only when explicitly agreed in the approved scope.
Existing Application Change & Project Support
We support planned changes to existing maintenance applications through clear requirements, controlled testing and coordinated follow-up. We provide documented evidence to support your team’s readiness decisions and stabilization activities.
Challenges we address
An application update or workflow change can affect users, data and downstream activities across departments. Without agreed requirements and test evidence, a successful transaction may leave important operational questions unresolved before implementation.
How we help
- We clarify the proposed change, affected processes, functional requirements, dependencies and acceptance criteria.
- We prepare business scenarios and coordinate user acceptance testing with the customer's designated users.
- We document observed results, defects, retests and unresolved items with links to supporting evidence.
- We support readiness reviews and the agreed stabilization period through functional follow-up and coordination with responsible teams.
What we deliver
- We deliver a register of functional requirements and test scenarios linked to agreed acceptance criteria.
- We provide test results and an issue register with evidence references, assigned owners and retest status.
- We prepare a readiness and handoff summary identifying open items, dependencies and stabilization actions.
What we need to get started
- Approved change objectives, relevant release information and identified customer and provider contacts.
- Authorized access to a suitable test environment, representative test data and the required user roles.
- Available business users and decision makers to execute or validate tests, resolve questions and approve outcomes.
Scope and responsibilities
We provide customer-side functional support within the agreed project scope. The customer and its authorized technical teams or software provider retain responsibility for code changes, infrastructure, deployment and approval to proceed. Our test findings apply to the scenarios and environment reviewed; they do not establish coverage of every possible operating condition. We carry out production changes only with separate written authorization.
Data Reconciliation & Migration Readiness
We compare selected source and target data, clarify mapping rules and review evidence from migration trials. We identify unresolved differences and dependencies to support your team’s decision on data readiness for transition.
Challenges we address
A completed file transfer or data load does not explain whether the selected information arrived with the expected meaning and relationships. Differences in identifiers, codes, formats or scope can leave records unmatched and complicate the transition to a new application or dataset.
How we help
- We confirm the datasets, source and target structures, migration boundaries and reconciliation criteria with the responsible teams.
- We review field mappings, transformation rules, reference codes and dependencies between related records.
- We compare authorized source and target extracts from agreed migration trials using defined counts, field checks and record matching.
- We investigate exceptions with data owners and document unresolved issues, retest needs and readiness dependencies.
What we deliver
- We deliver a source-to-target mapping matrix documenting agreed transformations, reference values and open questions.
- We prepare a reconciliation report showing comparison coverage, results, unmatched records and supported exceptions.
- We provide a migration readiness summary with unresolved items, assigned owners and recommended actions before the next decision point.
What we need to get started
- Authorized source and target extracts from identified migration runs or comparison periods.
- Available data structures, mapping specifications, transformation rules and migration objectives.
- Access to data owners and migration or provider teams who can explain differences and validate reconciliation criteria.
Scope and responsibilities
We assess the agreed data and migration evidence. This review does not include migration execution or authorization of a production cutover. Migration tools, extraction and load activities, backups and rollback execution remain with the customer’s authorized technical teams unless separately agreed. The customer approves exception treatment and the decision to proceed. Our findings do not cover unreviewed records or later migration runs, which require their own validation.
